Kaseya Helps Not-For-Profit Organization Match More Children with Mentors
IT Automation, Remote Management Allows Big Brothers Big Sisters of North Texas to Streamline Matchmaking Process
ST. HELIER, JERSEY, December 18, 2007 — Kaseya, a global provider of information technology (IT) automation software for IT solution providers and corporate IT organizations, announced today that Big Brothers Big Sisters of North Texas uses Kaseya's remote and automatic systems management solution to speed up the process of matching children with adult mentors. The Kaseya solution ensures the availability and performance of distributed systems, enabling remote computing and giving social service professionals the ability to fill out paperwork immediately after each meeting or contact. The faster paperwork is completed, the more volunteers can be found, qualified and safely matched with children.
The North Texas chapter of Big Brothers Big Sisters is the largest in the country, encompassing 300 square miles and matching over 8,000 children with mentors. The sheer size of the agency required many of the organization’s social service professionals to drive more than 50 miles each way to complete paperwork, fill out mentor evaluations and conduct volunteer outreach. As a result, employees often came in once a week or less, creating a lag in the process.
“The lag time slowed down the process of finding volunteers, qualifying them, matching them with children and establishing the relationship,” said Sean Ryan, director of information services, Big Brothers Big Sisters of North Texas. “With Kaseya, our employees are able to work from home, eliminating this lag time. The average time to fill out paperwork went from seven days to several hours.”
Kaseya enables remote computing by automating much of the repetition associated with managing a distributed IT environment. Tasks like systems monitoring, patch management and software deployment are now done from a central, Web-base management console, streamlining the entire process and making each system more robust, reliable, secure and powerful. By giving social service professionals the ability to work from home, they are more productive, speeding up the process of finding volunteers and successfully matching them with children.
According to an internal audit conducted after deploying the Kaseya solution, the average time it takes to match a child with an adult mentor dropped in half from four months to two months. At the same time, the cost per child in the system was reduced $200 per month. Overall, the North Texas chapter increased the number of matches from 4,500 in 2004 to more than 8,000 in 2007. This success recently caught the eye of the national office, earning the North Texas chapter the Agency of the Year award for 2007.
Kaseya’s low-footprint client is deployed on nine Windows 2003 servers and 230 Windows XP Pro laptops and desktops distributed throughout the region, ensuring that the systems are meeting the organization’s performance and availability service level agreements.
Ryan estimates that Kaseya’s automated features save his staff hundreds of man hours each month. Each administrator can now manage 150 systems, up from 75 prior to deploying the Kaseya solution. The organization has been able to account for $600,000 in cost savings by eliminating redundancy and inefficiencies through the Kaseya solution, some of which will carry over year after year.
“The Big Brothers Big Sisters of North Texas success is a classic example of how efficient IT can trickle down and affect the way an organization conducts business,” said Jim Alves, executive vice president of product marketing, Kaseya. “The Kaseya solution takes monitoring and managing distributed systems—usually a difficult, time-consuming task—and automates much of the repetition, making it an easy, intuitive process. Healthy and available systems enable more productive employees.”
